 Objective: Gather feedback from internal stakeholders and revise all creative materials accordingly to finalize campaign assets for production and distribution.


 Task Description:

After initial designs are completed, stakeholder collaboration is essential to ensure that the creative output aligns with business goals, brand standards, and campaign objectives. This phase ensures all feedback is consolidated, thoughtfully incorporated, and revisions are finalized before moving to production or publication.


 Steps to Complete the Task

1. Schedule Review Sessions (By January 16th)

  • Organize Stakeholder Meetings: Arrange review sessions with key internal teams—Marketing, Communications, Brand, and Leadership.
  • Share Final Drafts: Distribute the finalized designs from the previous phase to stakeholders at least 1–2 days before the meeting.
  • Prepare Feedback Templates: Provide stakeholders with a standard template or form to log suggestions, which ensures structured and actionable feedback.

2. Collect and Consolidate Feedback (By January 17th)

  • Centralize Feedback: Collect all notes and feedback into a single document or tracking sheet.
    • Use tools like Google Docs, Figma comments, or Adobe review features to streamline collaboration.
  • Categorize Revisions:
    •  Minor Edits: (e.g., text alignment, font sizing, color tweaks)
    •  Major Revisions: (e.g., layout changes, new copy suggestions, visual overhaul)
  • Prioritize Based on Urgency & Impact: Identify which changes are critical for brand alignment, regulatory compliance, or stakeholder satisfaction.

3. Implement Revisions (By January 18–19th)

  • Assign Design Tasks: Distribute revision tasks among the creative team members.
  • Design Updates: Make updates to:
    • Graphics and visuals
    • Typography, colors, and layout
    • Written content (headlines, calls to action, supporting text)
  • Ensure Brand Compliance: Cross-check revised designs with SayPro’s brand guidelines for consistency.

4. Internal Review & Final Sign-Off (By January 20th)

  • Conduct Final Internal Review: Re-share the revised designs with stakeholders for final confirmation.
  • Confirm Approvals: Obtain formal sign-off via email, approval form, or project management tools like Asana or Monday.com.
  • Archive Feedback Documentation: Store all feedback history and revision notes in your shared drive for future reference or audits.

Deliverables:

  •  Revised Creative Files: Updated versions of all design assets based on feedback.
  •  Feedback Tracker: A document showing what was changed, who requested it, and when it was implemented.
  • Final Approvals: Email confirmations or signed-off forms from key stakeholders.
  •  Version History Archive: Store both pre- and post-revision versions in a clearly organized folder for traceability.
