I am writing to inform our CEO Neftaly Malatjie for the Upcoming Virtual Assessment Centre Site Evaluation-SayPro for Occupational that we are going to need the following Human Resources (Assessment Centre Personnel)
Organogram of the Assessment Centre (including details of Assessment Centre Manager, 2 Assessors, 1 Moderators and 2 Invigilators). N:B This is different from the Company Organogram; It must highlight those who will be involved in the Assessment Centre
An appointed or nominated, competent Assessment Centre Manager with a clear and comprehensive job description (A letter of appointment signed by two parties)
At least two (2) Assessors with ETDPSETA SOR for US: 115753 with at least 5 years’ experience and relevant industry qualification
At least one (1) Internal Moderator with ETDPSETA SOR for US: 115759 with at least 5 years’ experience and relevant industry qualification
At least two (2) Invigilators (1 of which is standby assistant) with at least 2 years’ experience and relevant industry qualification.
Certified copy of ID not older than 6 months
Certified Qualifications not older than 6 months
A detailed CV outlining work experience as per the work experience requirement.
Management Information System (MIS)
Refer to 4.1, 4.2 & 4.3 on the Evaluation Checklist and make sure this is addressed if not in place.
Quality Management System (QMS) – Policies and Procedures
Kindly pay attention to 5.1 to 5.6 on the Checklist and make sure its there on your QMS
Staff policy with procedures and roles and responsibilities for the Assessment Centre Manager, Assessors, Moderators and Invigilators. Kindly include under your staff policy the roles and responsibilities of the two staff members highlighted in Red.
Irregularities policy and procedures (If this is not in place kindly draft a document that will address how you will deal with irregularities). The assessment centre must also establish an Irregularities Committee that will handle assessment irregularities.
Policy and procedures for granting Access to the assessment venue. (only allow candidates registered for assessment and assessment practitioners conducting the assessment into the assessment area).
Administration policy and procedures.
Protection of Personal Information (PoPI) policy and procedures.
Occupational Health and Safety Management
Kindly pay attention to all the items from 6.1 – 6.10 and make sure all are available and attended to.
Assessment Centre Infrastructure
Refer to the checklist for 7.1 – 7.5.
The assessment centre MUST have a suitable storage facility to maintain a lockable area (SAFE/STRONGROOM) to store assessment papers before and after assessments have been administered.
Refer to the checklist for 7.7 – 7.19.
There is a digital or analogue clock which is large enough to be seen from the back of the assessment venue.
The assessment centre has a VIDEO CAMERA for the recording of assessments. The recordings will need to be secured, date stamped and made available to moderators.
Refer to the checklist for 7.22 – 7.27.
Assessment Centre Administration and Co-ordination
Refer to the checklist for 8.1 – 8.2.
The assessment centre has a system in place to restrict the movement of unauthorised people into the assessment venue during scheduled assessments. Kindly draft a procedure to be used to restrict the movement of unauthorized people into the assessment venue.
Kindly draft a clear process and procedure that indicate that the Assessment Centre has a clear process and procedure as well as resources for:
Receiving and storing assessments before assessment dates.
Distribution of assessment scripts after completion of assessments.
Verification of candidates on the day of writing assessments before they enter the assessment venue.
